What's new in accessplanit: August 2026!
Our August release brings more self-service for your customers, less day-to-day admin for your team, and some useful improvements to payments and integrations.
A big focus this month is the Manager Portal. For training providers that deliver training to organisations, this gives your customers’ managers a place to manage training for their own employees, without giving them access to the administrative side of your training management system.
We’ve added several new ways for managers to self-serve, from checking and changing delegates on a course to keeping employee details up to date. We’ve also improved Stripe payment reconciliation and upgraded our Exchange Calendar integration.
Here’s what’s new:
More self-service for your customers’ managers
Your training administrators manage the overall training operation in accessplanit, while the Manager Portal gives nominated contacts at your customer organisations access to the information and actions relevant to their own employees.
This month, we’ve expanded what they can do.
Managers can view and manage their own delegates
Managers can now see exactly who they have booked onto an individual course directly from their Course List.
Previously, they would need to search through their wider delegate list and apply filters, or contact your training team for help. Now, they can open a course and select ‘Delegates’ to see the people they manage who are booked onto that particular date.
From here, they can also access actions including previewing a delegate record and downloading their certificate.
We’ve also brought Change Delegate into the Manager Portal.
If someone can no longer attend a course, the manager can swap them for another employee themselves, rather than asking your training team to cancel or amend the booking.
For training providers handling lots of corporate bookings, that means fewer routine requests landing with your administrators and a quicker experience for your customers.
Share useful DataGrid filters with managers
Training administrators can now create DataGrid filters and share them directly with managers.
Previously, setting up a useful filter for a manager meant impersonating their account, creating it for them and repeating the process for every manager who needed the same view.
Now, you can build a filter once from your administrator account and share it with whichever managers need it.
For example, you might create filters that make it easier for managers to find particular courses or groups of delegates without having to build the criteria themselves.
Shared filters are read-only for managers, so your team stays in control of what’s shared while avoiding the work of setting everything up individually.
Managers can keep employee job titles up to date
Managers can now view and edit the Job Title field for the employees they manage.
Previously, this could only be updated by an administrator. Now, customers can keep this information current themselves rather than sending changes to your training team.
Job Title has also been added as a sortable and filterable column in the Manager Portal Users DataGrid, making it easier for managers to find the right employees.
It’s another small piece of administration that no longer needs to sit with your team.
A clearer Manager Portal experience
We’ve also made some changes to make navigating the Manager Portal more straightforward.
Terminology is now consistent across accessplanit, with ‘Manager Access’ renamed ‘Manager Portal’.
We’ve also updated the options for moving between different areas:
- ‘Switch to Manager Mode’ is now ‘Go to Manager Portal’
- ‘Switch to Portal’ is now ‘Go to Learner Portal’
We’ve also removed the Help option that previously directed managers to accessplanit’s administrator knowledge base and support portal.
These resources are designed for our customers and their training administration teams, rather than the managers using their portals. Removing the link keeps the Manager Portal focused on the tools and information relevant to them.
We’re working on dedicated help for managers, so keep an eye out for more on that in a future update.
Exchange Calendar integration upgraded to Microsoft Graph
We’ve upgraded our Exchange Calendar integration to use Microsoft Graph, Microsoft’s modern API for connecting with Exchange Online and Microsoft 365.
Training providers can use the Exchange Calendar integration to connect trainer schedules in accessplanit with their Microsoft calendars, helping keep availability and course commitments aligned.
Microsoft is retiring Exchange Web Services (EWS), which the integration previously used, for Exchange Online on 1 October 2026. We’ve moved to Microsoft Graph ahead of the deadline so customers can update their configuration in plenty of time.
If you currently use the Exchange Calendar integration with Exchange Online, there are two steps you’ll need to take:
- Update your Azure App Registration. Your IT team will need to add the new Microsoft Graph permissions.
- Switch your accessplanit integration to Microsoft Graph. Once the permissions have been updated, an accessplanit administrator can make the change under Administration > Exchange Calendar Integration.
Microsoft Graph requires OAuth 2.0 authentication. If you currently use Basic Authentication with an on-premise Exchange setup, this change doesn’t apply to you and your existing setup remains unchanged for now.
We recommend making the switch as soon as possible and no later than 1 October 2026 to avoid interruption to your Exchange Online integration.
Easier Stripe payment reconciliation
We’ve also improved the information passed to Stripe when an online Checkout payment is processed through accessplanit.
Transaction descriptions can now include:
- Account ID
- User ID
- course, product and service labels
- course start and end dates
- applied discount names, where relevant
This gives finance and administration teams much more context when looking at transactions in Stripe.
Rather than having to investigate a payment to work out which booking or purchase it relates to, the relevant information is easier to identify at a glance. That can make matching payments to invoices, understanding purchases and reconciling payment and discount activity much quicker.
For training providers processing a high volume of online bookings, it’s a simple improvement that can make the finance admin around those bookings much easier to manage.
Giving your team more time back
There’s a common thread running through a lot of our August updates: reducing the routine admin involved in managing training.
Managers can handle more of the tasks relating to their own employees, administrators can share useful views without setting them up one by one, and finance teams get clearer information when reconciling online payments.
For training providers managing growing volumes of courses, customers and delegates, these efficiencies add up.
