accessplanit's July 2024 update has recently launched for all users of the platform! Our team has been working hard to develop new features for our training management software which will help our customers and improve their training operations.
This release was another big one! Full details can be found in the What's New section of the accessplanit Knowledge Base or in our product update webinar.
In this blog, we'll explore our top 3 features from this release and how you might find them useful in your training company.
Top 3 features from accessplanit's latest update
1. Default start/end times for Courses
Let's explore these features, how to set them up and examples of how you might use them.
1. Default start/end times for Courses
With this update, you can set default start times and default end times for your Course Templates. These new options are available for Classroom and Webinar Course Templates.
This will further streamline your Course setup process. Every Course that uses a Course Template with default start and end times will have the correct times assigned automatically when it is scheduled - no need for manual editing.
This is an optional feature but one that will come in handy when you run courses that don't follow the global start/end time in your platform. For example, most of your courses might run from 9am to 5pm, so this is your global start/end time.
However, you might run a Mental Health First Aid Course that only runs in the morning, from 9 to 12. You can edit this Course Template and override the global start and end time. Now, all the Mental Health First Aid Courses will have the default start and end times of 9am and 12pm and you don't need to amend it every time you schedule the Course Template.
How to set default start/end times
To find these two new options, right-click on a Course Template and click 'Edit'. Scroll down to the 'Course Timings' section, where you can select or type the start and end time.
2. Placeholders Smart Grid
You can now find a dedicated Placeholders Smart Grid in your accessplanit platform! Placeholders are useful for when your customers may wish to book several places on your Course but haven't decided which delegates will be attending yet. You can now manage these bookings more easily with a dedicated place to view and manage Placeholders.
This new Smart Grid contains every Placeholder across all of your Courses. Here are some examples of things you can do from this page:
- Search all of your Placeholders
- Use filters to view all Placeholders on future Courses
- Use filters to view and manage Placeholders that have not been invoiced
- Generate Invoices for multiple Placeholders at once
- Use filters to view all Placeholders that have unused places
- Email all Booking Users for Placeholders that have unused Placeholders
- Use filters to view all cancelled or transferred Placeholders
How to find the Placeholders Smart Grid
Access this Smart Grid by clicking the 'Smart Grids' option in your main navigation menu.
Click 'Placeholders' to open up the new Placeholders Smart Grid, which looks something like this:
3. Checkout improvements
We have made a number of really useful improvements to the way Checkout works in this release! In Checkout, you can now:
- Capture optional information about your Delegates, rather than just mandatory fields
- Capture Nationality information about your Delegates
- Add age restrictions to Course bookings
- Set Delegates who haven't paid their invoice to 'Provisional'
- Prevent specific Users from making bookings
- Allow customers to save their billing address to streamline their payment process
- Apply restrictions to Discounts - such as date ranges or usage limits
These will all provide you (and your customers) with even more flexibility when booking your Courses. To view the full details of each of these, visit the What's New page.
