What is Implementation & why do I need it?

 

Implementation is essential to set you and your team on the path to success. We do this in a step by step process with our dedicated experts to ensure you are involved and hands on with the platform throughout the process. This ensures your platform meets your exact needs and wants, allowing for a smooth and seamless transition from your current ways of working to your future success with accessplanit.

*We can provide examples and initial guidance however all website and integration work with be external from accessplanit and is your responsibility. Advice and guidance should be sought from qualified parties.

  • 1 dedicated process planning session, followed by 6 weeks of build & 4 weeks team familiarisation and 1 subsequent process review session
  • 1 Week Pre-Implementation

In the Discover phase, we get to know each other.

By communicating closely with you and your team, we aim to gain a full understanding of your business and your goals. Here, you pick from our range of optional modules.

This stage ensures that we are best placed to provide you with the solutions your training business needs for the results you want, and get set up for a smooth implementation.

Plan

Once you have decided that accessplanit's training management software is right for your training needs, implementation kicks off.

Our implementation team meets with you to define your requirements and we hold a planning workshop where we map out exactly what happens next.

We finalise the delivery plan to ensure we are on the same page and can work together effectively as we move on to the next stages.

Configure

Now, we begin to configure the accessplanit platform for your needs, including data migration and process mapping.

You take an active role in this stage which includes custom training. This allows you to develop your platform knowledge early and build your ability to navigate and use our training management software effectively in preparation for launch.

This is a thorough process which ensures no detail is overlooked and your training management can continue like it was before - except better.

Launch

Once everything is set up and running smoothly, you are ready for launch!

The platform is now live and supporting your training management processes, helping you to plan, manage and sell your training courses, all in one place.

All of the goals that we set out earlier in the process are met, and you work alongside a dedicated Customer Success Manager who will guide you through a supported launch period and ensure everything is going to plan.

Adopt

We'll agree meeting cadence that works around your busy schedule, including a post-implementation review and a training Q&A.

Our support doesn't stop once your accessplanit training management software is up and running.

The answers to questions we're often asked about our training management software implementation process.

  • Do I need software implementation and training?

    Yes. As part of your implementation, our team gets to know you and your business, allowing us to configure the training management software to your needs to achieve the results you want. Our customised training ensures that you and your team are ready to launch your platform and get maximum value. 
  • Who should be involved in an implementation and what will they be responsible for?

    Project Manager - to manage the project & those involved. Delegate tasks to the team as appropriate & ensure project traction is maintained.

    Project Leader - to manage the project & those involved. May also be one of the main "doers"

    Training Team Leads - attend training sessions & building data into the system, ensuring familiar with the process & use of the system. These are also the people that will cascade knowledge & best practice across the company as we operate in a "train the trainer" style. 

    Finance Team - Responsible for the finance process approval - especially invoices, & connection between accounting tools and accessplanit platform.

    Additional Training Administrators - these are the team that will be trained by the Training Team leads. They will need to be familiar with the system prior to Launch, can be involved in the data entry process as part of their familiarisation.

    Web developer - Connection of accessplanit to email server (SMTP circa 2 hours or SPF DKIM circa 2 Hours). Website Integration (HTML enquiry form - circa 2 hours, HTML Feed circa 6 hours, XML Feed 18 hours)

    API Developer - If you  plan to connect your accessplanit platfrom to other softwares you will need a developer to do this work. This is outside scope for implementation and as it is a bespoke connection will require more detailed scoping from your team to forecast hours needed accurately.
