Over the last month, we've released a range of updates designed to give training providers greater visibility across learner activity, sales opportunities, renewals and customer self-service.
Here's a look at what's new and how these updates can support the day-to-day running of a training business.
At a glance, our new updates include:
Training providers are increasingly delivering a mix of classroom training, webinars, eLearning and supporting digital content. While this creates more flexibility for learners, it can make administration more complex if learner records are spread across different areas of the system.
Our new Delegates Smart Grid brings all delegate records together into a single view. Administrators can search, filter and manage classroom, webinar, eLearning and knowledge document delegates from one place.
This is particularly useful when managing blended learning programmes. Rather than reviewing multiple data grids, administrators can quickly see a learner's activity across different delivery methods and understand where they are in their training journey.
The Smart Grid can also be used to:
For providers delivering a broad range of training formats, having a consolidated view can make reporting and administration considerably more straightforward.
We've introduced a dedicated Opportunities page within courses, allowing providers to see sales opportunities linked directly to individual course dates.
This creates a useful connection between course scheduling and pipeline management.
For example, a course may currently have low delegate numbers, but several active opportunities associated with it. Being able to view those enquiries alongside the course itself provides additional context when reviewing occupancy levels and future demand.
Sales and operations teams can use this information to understand:
The result is better visibility of demand at course level and a clearer view of potential future bookings.
The overview field within Opportunities has been expanded from 50 characters to 150 characters.
Although a relatively small update, it gives teams more space to record useful context against enquiries.
Many providers use opportunity overviews to capture a quick internal summary that helps colleagues understand the nature of an enquiry without reading through full notes or descriptions. The additional space makes those summaries more meaningful and can help improve visibility across sales teams.
Reporting requirements rarely fit neatly into fixed date ranges.
Providers often need to identify records based on rolling time periods, whether that's delegates registered in recent days, invoices that became overdue last month, or opportunities due to close in the near future.
New relative date filters are now available throughout Smart Grids, dashboard gadgets, reports and workflows.
Available options include:
These filters allow reports and workflows to remain relevant over time without requiring manual updates to date criteria.
They can be used for everything from operational reporting through to automated communications and dashboard monitoring.
Managers can now download previously generated delegate certificates directly from Manager Access.
Many organisations require quick access to training records for compliance audits, customer requirements, site access checks and internal record keeping. Previously, obtaining certificates often involved contacting the training provider and requesting copies.
With this update, managers can access certificates themselves through their portal, provided the certificate has already been generated within the platform.
This gives customers faster access to training records while reducing the number of administrative requests being handled by provider teams.
Administrators also benefit from additional certificate download options within accessplanit, making it easier to retrieve previously generated certificates without regenerating documents.
Renewal management plays an important role for many training providers, particularly those delivering accredited, certified or compliance-based training.
We've introduced additional renewal tracking functionality within User Awards to help providers understand where learners are within the renewal process.
A new Renewal In Progress field automatically identifies delegates who are booked onto a course that will renew their award.
This information can also be used within workflows, allowing providers to create more targeted renewal communications. For example, expiry reminder emails can be limited to learners who have not already renewed or booked a renewal course.
The result is more accurate communication and greater visibility of upcoming renewals across the learner base.
A number of smaller updates have also been released during May, including:
Course durations can no longer be saved with a value of zero, helping prevent setup errors that can affect scheduling and administration.
Providers can now filter checkout basket workflows using account groups, making it easier to tailor abandoned basket communications for different customer segments.
Many of this month's updates focus on improving visibility and reducing manual administration across key areas of training management.
Whether it's viewing learner activity across delivery methods, understanding demand at course level, simplifying certificate access or managing renewals more effectively, the goal is to help providers spend less time managing processes and more time delivering training.
